Privacy Policy

Introduction

This is the privacy policy for the Utilities Discord bot, it explains what data we store and how you have control over your data.

Information Stored

• Server Information - guild ID, owner ID, server name, member/channel/role counts, and the server set prefix.
• Tickets - channel IDs, who opened each ticket, claim/close status, panel config, and blacklisted user/role IDs.
• Transactions - amount, details you enter, the associated user, who logged it, timestamps, and autorole/stats settings.
• Custom Content - embeds, buttons, autoresponders, and panels you build.
• Utilities - welcome/leave/boost messages, ghost-ping and auto-react settings, join roles, and custom bot appearance.
• Premium - which server claimed a key, who activated it, and expiry dates.

Message Content

The bot reads message content for the features you have set up, and in almost every case does not keep it. A prefix command and an autoresponder are matched against what you configured and then discarded in the same moment - nothing is written down.

The snipe commands are the exception, because recovering a deleted message is only possible if it was kept before it was deleted. Recently deleted messages, the previous text of edited messages, and removed reactions are held for up to two hours and then expire automatically, with at most 19 kept per channel. They are held in a temporary cache, never in our database and never in a backup, and a server administrator can clear a channel's entries at any time with clearsnipe.

Ticket Transcripts

When a transcript is generated the conversation is rendered to a file and posted into the log channel you configured, which is inside Discord and under your control.

Where a transcript link service is configured for the bot, that same file is also stored by that service for 30 days so the link keeps working after the ticket channel has been deleted, and is removed automatically when that time is up. This applies only to ticket channels your server created for support, and only when a staff member asks for a transcript - never to ordinary conversation.

Collection & Usage

• We do not save IP addresses or sensitive information.
• We do not use, share or sell your data for any reason at all.
• We do not use your data, including message content, to train machine learning or AI models.

Third Party Services

Some commands may require a third-party service to work otherwise data is not shared with any third parties unless required by law.

Information

The only person with access to your data is the owner of utilities. Data is stored on an online database which is encrypted at rest by the hosting provider, and we are not responsible for loss of data.

How Long We Keep It

Your server's configuration and records are kept for as long as the bot is in your server, because that is what the bot reads to work. Message content is the exception and is covered above.

If the bot is removed from your server, everything belonging to that server is deleted automatically after 120 days. The delay is deliberate: an accidental kick, a permissions mistake or a break over a quiet period should not destroy your panels and settings, and a server that adds the bot back within four months finds them where it left them. You do not have to wait if you would rather it went sooner - ask, and it goes.

Data Control & Deletion

Use the command /server wipe to delete selected or majority of data saved for your server. Open a support ticket to request a full deletion via the support server.

Changes

We may update the Privacy Policy at any time, continued use constitutes that you understand the Privacy Policy.
